Privacy Policy

RevEvolve is a product of Hotel Switchboard LLC ("RevEvolve," "we," "us," "our"), a Delaware-registered company headquartered at 836 S Arlington Heights Rd, Unit 364, Elk Grove Village, IL 60007.

This Privacy Policy describes how we collect, use, share, and protect personal information when you visit revevolve.ai, sign up for an account, connect your Property Management System (PMS), or otherwise interact with the platform.

We collect four categories of information:

1. Information you give us directly - your name, work email, job role, hotel/property details, and any content you submit through forms, demos, or support conversations.
2. Hotel performance data from your PMS / CRS - bookings, rates, occupancy, segments, channels, comp-set inputs, and other revenue-relevant metrics. We never collect guest personal data (no guest names, emails, addresses, or payment info).
3. Usage and telemetry - pages visited, features used, session duration, error logs, and similar diagnostics needed to operate and improve the product.
4. Cookies and device data - browser type, OS, IP, referrer, and identifiers from cookies and similar technologies. See Section 13.

We use personal information to:

• operate, maintain, and secure the RevEvolve platform;
• deliver Copilot answers, forecasts, and recommendations on your data;
• provide customer support and onboarding;
• continuously improve features, performance, and reliability;
• prevent fraud, abuse, and security incidents;
• comply with legal, tax, and regulatory obligations;
• send optional marketing emails (only with your consent - unsubscribe anytime).

Where the General Data Protection Regulation (GDPR) applies, we rely on these Article 6 legal bases:

• Contract (Art. 6(1)(b)) - to deliver the services you sign up for and meet our contractual obligations.
• Legitimate interests (Art. 6(1)(f)) - to keep the platform secure, prevent fraud, and improve product quality, balanced against your rights and freedoms.
• Consent (Art. 6(1)(a)) - for non-essential cookies, marketing emails, and any other voluntary processing.
• Legal obligation (Art. 6(1)(c)) - to comply with applicable laws (tax, accounting, regulatory requests).
• Vital / public interest (Art. 6(1)(d) & (e)) - in the rare cases this applies, e.g. responding to a serious security incident.

We disclose personal information only in five clearly defined situations:

• Service providers - vetted vendors who process data on our behalf under written contracts (see Section 6).
• Parent / management companies - where your property is contractually managed under a parent group, with appropriate authorization.
• Legally required disclosures - to comply with subpoenas, court orders, or regulator requests.
• Corporate transactions - in a merger, acquisition, or asset sale; we will notify you and honor existing privacy commitments.
• With your explicit consent - anything outside the above requires you to opt in first.

We engage trusted vendors ("sub-processors") to deliver parts of the service. Each is bound by a Data Processing Agreement and must meet our security standards.

We provide 30 days' advance notice before adding a new sub-processor that materially changes how your data is handled. Customers may object in writing during the notice period.

We retain personal information only for as long as we genuinely need it:

You may request earlier deletion at any time by emailing sales@hotelswitchboard.com. We honor deletion requests except where we are legally required to retain data (e.g., tax records).

Security is a first-class engineering concern, not an afterthought:

RevEvolve is operated from the United States. If you access the service from outside the U.S., your data will be transferred to and processed in the U.S. and other regions where our sub-processors operate.

For transfers from the EEA, UK, or Switzerland, we rely on:

• Standard Contractual Clauses (SCCs) approved by the European Commission;
• EU–U.S. Data Privacy Framework [Certification status - placeholder];
• Encryption in transit and at rest;
• Transfer impact assessments for material new flows.

You can exercise the following rights at any time by emailing sales@hotelswitchboard.com:

• Access - get a copy of the personal data we hold about you;
• Correction - fix inaccurate or incomplete information;
• Deletion - ask us to erase your data (subject to legal retention);
• Export / portability - receive your data in a structured, machine-readable format;
• Objection - object to processing based on legitimate interests;
• Withdraw consent - for any processing that relied on consent.

We respond to verified requests within 30–45 days.

If you reside in California, you have specific rights under the California Consumer Privacy Act (CCPA) and California Privacy Rights Act (CPRA):

• Right to know what personal information we collect, use, and disclose;
• Right to delete personal information we have collected;
• Right to correct inaccurate personal information;
• Right to opt out of any sale or sharing - though we do not sell or share for cross-context behavioral advertising;
• Right to limit use of sensitive personal information;
• Right to non-discrimination for exercising any of these rights.

If you are in the EEA, the UK, or Switzerland, you have the right to:

• access your personal data;
• request rectification of inaccurate data;
• request erasure ("right to be forgotten");
• restrict processing;
• data portability;
• object to processing based on legitimate interests;
• not be subject to fully automated decisions with legal or similarly significant effects;
• lodge a complaint with your local data protection authority.

We use cookies and similar technologies in three categories:

• Strictly necessary - required to authenticate, secure sessions, and remember preferences. No consent required.
• Functional & analytics - help us understand usage and improve the product. Consent required where applicable.
• Marketing - measure campaign performance and reach. Consent always required.

RevEvolve is a B2B platform for hospitality professionals. We do not knowingly collect personal information from anyone under 16. If you believe a minor has provided personal information through our service, contact sales@hotelswitchboard.com and we will promptly delete the data.

We may update this Privacy Policy from time to time. When we do:

• we update the "Last updated" date at the top of this page;
• for material changes, we email notification to active accounts;
• and post a 30-day in-app banner before the change takes effect;
• where required by law, we ask for renewed consent.
